Minutes
Thousand Island Voyageurs
Kingston, ON - June 8, 2008

  1. The meeting was called to order by President Lyn Gordon at 10:00 am sharp. Past President Rosie Grigiatis and Dianne Buist led the Chapter in the singing of both National Anthems followed by a moment of silence for passed members and members of the combined armed forces.
  2. As required, all members of the executive were present except for Vice President - Newsletter, Peter Scott who sent his regrets and submitted a written report.
  3. The President welcomed everyone and thanked the Rally Masters Austin and Cheryl Slack and Nancy and Gary Grant for their efforts in putting on the rally on behalf of the membership.
  4. Secretary Gary Grant confirmed a quorum was present with 28 coaches in attendance and read the minutes of the previous meeting held at Merrickville., Ontario. One correction was added to thank Doug Johnson and John Imrie for their support at the Merrickville rally. Moved by Sharon Bazinet ‘the minutes be adopted.’ CARRIED.
  5. The Secretary reported the Chapter bylaws required an update with the addition of Officer Duties and Standing Orders as articles . He reported he drafted a new Chapter Bylaws document with the added articles which was submitted to the Bylaw Committee for review and recommendation. He indicated difficulty in getting answers to needs while working on a rally. A Rally Master guide supplied by Chris Charney last year has been updated and copyrighted to the Chapter as the official ‘Rally Guide’ for Rally Masters. The Secretary stated the document should be used as a living tool to aid Chapter Vice Presidents in their efforts to cultivate new Rally Masters and facilitate new rally opportunities. A copy is to be provided every Rally Master for future rallies.
  6. Treasurer Leo Grigiatis reported the need to file a mandatory notice of exemption with the US Federal authorities by May 15 of each year. This task can be accomplished on the internet with a password and the exemption applies to all non-profits with annual revenues under $25,000.00. The Treasurer advised there was $2,914.23 in the Canadian account and $2,389.00 in the US account, and a net gain of revenues over expenses of $644.71 last year. Moved by Rejean Roy, ‘to accept the Treasurer’s report. CARRIED.
  7. Vice President - Canadian Robert Vanier called on all members to consider being a Rally Master next year. Rolland Lauzon was introduced and spoke of preliminary arrangements at the next rally to be held in Mallorytown, Ontario on July 4, 2008. He announced a ’Flea Market’ to be held on the Saturday. All ladies were asked to bring their crafts for display and/or sale.
  8. Vice President -USA Alice Foy thanked the Kingston Rally Masters and made mention of the Italian Festival Rally to be held in Watertown, NY in September 7-9, 2008. An update and rally signup sheet will be available at the next rally in Mallorytown.
  9. Vice President - Membership Dan Bazinet made tribute to the passing of Don Wannamaker and his contribution to the Chapter. He then thanked the membership for their support as their interim Vice President - Membership. He advised FMCA was sending him a list of new region members since September 2007 to stimulate chapter membership enrolment. All members are encouraged to recruit new members to ensure the longevity of the chapter. Total membership to date: 74. With two recent members removed, there are 43 Canadian and 31 American families within the chapter. Three new members have joined the chapter and include:
    • Chuck and Vicky McDonald - Hartington, Ontario
    • Dave and Lynne Krauter - Kanata, Ontario
    • Serge and Francyne Boudreau - St. Jean Sur Richelieu
  10. The Vice President - Newsletter Peter Scott was absent . His written report called for membership support for the interim VP Membership. All members are encouraged to re-confirm their address and email address so future newsletters can be sent electronically and saving the chapter funds. He also announced, after 1 ½ years on the Newsletter, he was stepping down from the position as VP - Newsletter at the close of the fall rally.
  11. National Director - JoAn Halliday-Lauzon drew members attention to the Medex ad in the January issue of the FMCA magazine, page 122. She encouraged all members to refresh themselves with the free coverage provided as a result of their membership in FMCA. She reported she attended a National Director seminar at the 79th International Convention in Pomona California, Feb 2008 with good chapter exposure from the chapter banner draped over their rig. Attendance was approximately 3500 rigs. The National Director also attended a Volunteer Captains meeting at Essex Junction, Vermont and confirmed our chapter will be responsible for handicap transportation at the upcoming NEAR rally and encouraged support from chapter attendees. Volunteer move in day is August 5th. The theme of NEAR is Dixieland with August 8th planned as Chapter Day with a parade. A further update on will happen at the July rally.
  12. Chris Charney was introduced as the Chapter Procurement Officer who reported current inventory on hand. A detailed listing will be collected and posted on the chapter website to promote sales.
  13. Gary Grant reported on the web development initiative commenced at the fall 2007 rally. The Chapter now owns FMCA.CA . He reported the current chapter website at www.angelfire.com/ny5/tiv was up to date but reminded it was a fee site which also included numerous pop-ups and uncontrollable ads. A Web Development Strategy was distributed to all chapter executives and was under discussion. New email addresses were now available to communicate with all chapter executives. A list with access procedures will be made available at the next rally.
  14. Old Business - No items to report.
  15. New Business - The Vice President - Membership moved ‘the chapter membership fee shall be $10 per year, per coach, based on 2 occupants and; the initiation fee shall be $15 per coach which includes 1st year membership and setup costs only.’ A heated discussion concerning keeping costs low and countered by rising chapter expenses ensued. CARRIED.
  16. The President announced the annual committee groups and a list of those who had volunteered to participate with thanks from their membership. These include:

  19. The President again recognized Austin and Cheryl Slack and Nancy and Gary Grant , the Rally Masters, for putting on a great rally and asked all to attend the next rally in Mallorytown. Cheryl Slack announced the giving of donated prizes for rally attendance.
